How to download a birth or death certificate in Uttar Pradesh, what to do when the record is wrong, and what to do when the birth or death was never registered. Last verified October 2026.

How-To · Uttar Pradesh · Civil Registration

In Uttar Pradesh, you can usually download a birth or death certificate online by searching with the registration number, or the name and date, on the official civil registration or e-District portal, then saving the digitally signed PDF. Anyone with the details can try. The fee for a copy is small and may be nil for a first copy. If the record has a wrong name or date, you will need an affidavit and a correction application. If the birth or death was never registered, you may need an order from the competent authority or a magistrate, and a refusal can become a real legal dispute. Last verified: October 2026.

The short answer
  • Download: search by registration number, or name and date, on the official CRS or UP e-District portal, then save the signed PDF.
  • Wrong record: apply to the registrar with an affidavit and proof for a correction.
  • Never registered: late registration needs permission within a year, and an order from the competent authority or magistrate after a year.
  • If refused: it becomes a legal dispute; keep records and track orders by party name.

01Why this is confusing in Uttar Pradesh

Uttar Pradesh is the largest state by population, and its birth and death records sit in more than one system. A record may be with a municipal body in a city, with a gram panchayat or health centre in a village, or in an older manual register. So the first problem is not the download itself. It is knowing where your record lives.

The second problem is errors. Names are spelt differently, a date of birth is typed wrongly, or a father’s name is missing. The third problem is a record that does not exist at all, because the birth or death was never reported.

Each of these has a different route. This guide covers all three: a normal download, a correction, and late registration. It follows the Registration of Births and Deaths Act, 1969 and the rules made under it, as applied in Uttar Pradesh.

02Which portal to use

The portal depends on where the event was registered, not where you live now. There are three common places to look.

  • National CRS portal: the central civil registration portal at crsorgi.gov.in is used for many newer records, and a certificate download and search option is offered there.
  • UP e-District and e-Sathi: the state e-District portal and its eSathi login at esathi.up.gov.in offer citizen services, including certificate services, for many districts.
  • Urban local body (nagar nigam or nagar palika): city births and deaths are often registered with the municipal body, which may have its own online service.

Check before you pay anyone

Official downloads should be free or carry only a small government fee. Be careful of private sites that charge large service fees for the same download. Always start from the official gov.in addresses above.

03Steps to download a birth or death certificate online

The exact screens change, but the flow is the same on the official portals.

  1. Keep your details ready. For a birth: child’s name, date of birth, place, parents’ names, and the registration number if you have it. For a death: deceased’s name, date and place of death, and the registration number if you have it.
  2. Open the right portal. Start with the official CRS or UP e-District portal listed above.
  3. Choose the service. Pick birth or death certificate search or download. Some portals ask you to log in with a mobile number and OTP.
  4. Search. Enter the registration number, or the name and date of the event, and select the state, district, and registration unit.
  5. Verify the record. Check every field: name, date, place, parents’ names, sex. Errors found now tell you that you need a correction.
  6. Pay the fee if asked. A small fee may apply for a copy. Keep the payment receipt.
  7. Download the PDF. The digitally signed PDF is the certificate. Save it and print a copy when needed.

Who can apply? In practice, the person named, a parent or family member, or anyone who can give the registration details can search. For legal use, such as a school, passport, insurance claim, or succession matter, use the certificate issued by the registrar and keep the digital signature intact.

05Correcting a wrong name or date

If the record you downloaded is wrong, do not use it as it is. A wrong name or date can block a passport, a school admission, a bank claim, or a property transfer.

What you usually need

  • A written application to the registrar who holds the record.
  • An affidavit stating the correct details and why the error happened. For a sample, see our guide to a name change affidavit format.
  • Proof of the correct detail, such as a hospital record, school record, Aadhaar, or a parent’s ID.
  • A copy of the existing certificate.

What the law allows

The Act allows a registrar to correct clerical or formal errors, and to make entries that were wrongly made. It does not let a registrar rewrite the facts of a birth or death without proof. A small spelling fix is usually simple. A change to a date of birth or a parent’s name is checked more closely.

06Late or delayed registration

The Act requires a birth or death to be reported and registered within 21 days. If you missed this, the record may not exist, so the portal will show no result.

  • After 21 days but within 30 days: registration is allowed with a small late fee.
  • After 30 days but within one year: registration needs the written permission of the prescribed authority, plus an affidavit and a higher late fee.
  • After one year: registration needs an order from the competent authority, commonly a magistrate of the first class, after which the registrar records the event.

For the order, you usually file an application with an affidavit, proof of the event (hospital record, school record, medical certificate, or witness statement), and an ID. The authority may call for a police or local inquiry before passing the order.

07When a refusal becomes a genuine legal dispute

Most corrections and late registrations are routine. But sometimes the registrar or authority refuses, or does not decide. Common reasons are weak proof, a mismatch between documents, or a doubt about the facts.

At that point you have a legal dispute. Your options are usually to appeal within the department if the rules allow it, or to approach the court or the competent magistrate for a direction. Where a family property, inheritance, or insurance matter depends on the record, other parties may also be involved.

Keep everything in one file: the application, the affidavit, the refusal, and every order. Note each next date. If the matter reaches a court, you will need to follow orders and dates by party name. Lenders and institutions that track many such matters at once can read about litigation portfolio monitoring. Teams handling many files may also compare matter management software.

One more point: any court order has its own time limits. Missing a deadline in a different area of law can be costly too, as our note on a patent extension of time under Rule 138 shows. Always diarise dates.

08Where Claw fits

You do not need Claw to download a certificate. That is done on the government portals above. Claw becomes useful only when a correction or late-registration application is refused and the matter turns into a case.

Claw is an all-in-one legaltech platform for Indian advocates, law firms, and corporate legal teams, combining AI-based case search, an AI legal assistant (Legal GPT), case management, and compliance automation across all Indian courts and tribunals.

Claw tracks matters across 9,102 forums, and its case search covers more than 30 crore judgments with results in under 5 seconds. If your matter goes to a court, you can create a free Claw account to track it by party name, follow every order and next date, and get alerts. Claw has a free plan for individual advocates. Teams and enterprises are on paid plans. If you also own a property file where a record is involved, our guide to an encumbrance certificate may help.

If a correction or late registration is refused, create a free Claw account to track the matter and any court order by party name. Visit clawlaw.in.
