How to download a birth or death certificate in Maharashtra, what to do when the record is wrong, and what to do when the birth or death was never registered. Last verified October 2026.

How-To · Maharashtra Civil Registration

You need a birth or death certificate for a school admission, a passport, a bank claim, an insurance payout or a property transfer, and you want it without standing in a municipal office queue. In most cases you can download it online in Maharashtra in a few minutes. The harder cases are when the name or date on the record is wrong, or when the birth or death was never registered at all. This guide covers all three: the normal download, correction, and late registration.

The short answer
  • Normal download: search by registration number or name and date on the official CRS or Maharashtra portal, then download the digitally signed PDF.
  • Wrong entry: apply to the registrar with an affidavit and proof.
  • Never registered: small late fee up to one year with permission; after one year, a first class magistrate’s order.
  • If refused: it becomes a legal dispute. Track it by party name.

01The short answer

To download a birth or death certificate in Maharashtra, search for the record by registration number, or by the child or deceased person’s name and date, on the official civil registration portal. Check the details, pay any fee, and download the digitally signed PDF. Close family or the person named can apply. The fee is usually small. If the record is wrong or was never registered, you may need an affidavit, and if the authority refuses, an order from a magistrate.

02Where to download a certificate in Maharashtra

There is no single counter for every case. Where you look depends on where and when the event was registered.

  • National CRS portal: the Civil Registration System at crsorgi.gov.in is the national portal. Newer births and deaths registered through it can be downloaded as digitally signed PDFs.
  • Aaple Sarkar: the Maharashtra government services portal at aaplesarkar.mahaonline.gov.in offers birth and death certificate services under the state citizen services framework.
  • Municipal portals: for events registered in Greater Mumbai, the Brihanmumbai Municipal Corporation (MCGM) runs its own online service. Other large corporations, such as Pune and Nagpur, may also have their own. Rural records sit with the Gram Panchayat and local registrar.

If you cannot find the record on one portal, try the one that matches the place of the event.

03Steps to download a birth or death certificate online

The exact screens differ by portal, but the flow is the same.

  1. Open the right official portal. Use the national CRS portal or the Maharashtra Aaple Sarkar portal. Avoid agents and look-alike sites that charge extra.
  2. Choose the certificate type. Select birth or death, then select the state, district and the place of the event.
  3. Search for the record. Use the registration number if you have it. If not, search by the child or deceased person’s name, the date of the event, and the parent’s name where asked.
  4. Check every detail. Look at the name, date, place, sex and parent names. Spelling mistakes are common, so read each letter.
  5. Verify and pay. Confirm your mobile number with the OTP and pay the fee, if any, online.
  6. Download the PDF. The certificate is a digitally signed PDF. Save it and print a copy if an office asks for paper.

If the search shows no record, do not assume the event was never registered. Try spelling variants, the mother’s or father’s name, and the neighbouring municipal area before you decide.

04Fees, who can apply and what to keep ready

Who can apply: the person named on the certificate, a parent, a spouse, a child, or another close family member. For a death certificate, a legal heir usually applies. Keep an ID proof and the registration number handy.

Have ready: the date and place of the event, the full names of the parents or the deceased, and a working mobile number.

05If the record is wrong: correction of name or date

A wrong name, a wrong date of birth or a spelling error can block a passport, a visa or an insurance claim. You usually cannot fix it on the download screen. You must ask the registrar who holds the record.

  1. Collect proof of the correct detail. School leaving certificate, hospital record, ID cards or parents’ documents all help.
  2. Prepare an affidavit. It states the wrong entry, the correct entry and why. For help with format, see our guide on the name change affidavit format.
  3. Apply to the registrar. Submit the correction form, the affidavit and the proof, with the fee, to the local registrar office.
  4. Wait for the decision. If the registrar accepts, a corrected certificate is issued.

Simple clerical errors are often fixed this way. A larger change, such as a very different name or date, may be questioned by the registrar, who may ask for more proof or send you to a court.

06If it was never registered: late or delayed registration

Births and deaths must be reported within 21 days. After that, the route depends on how late you are. Under the Maharashtra Registration of Births and Deaths Rules, the broad position is this:

  • After 21 days but within 30 days: registration with a small late fee.
  • After 30 days but within one year: registration with the written permission of the authorised officer and a late fee.
  • After one year: registration only on an order of a first class magistrate, after the magistrate checks that the birth or death really happened.

For the one year case, you apply to the magistrate with an affidavit and proof, such as a hospital record, a school record, a cremation or burial receipt, or statements of witnesses. If the magistrate is satisfied, the order goes to the registrar, who then registers the event and issues the certificate.

07When a refusal becomes a legal dispute

Most people finish the process without a fight. But a refusal changes the situation. If the registrar rejects your correction, or the authority declines late registration, you are no longer filling a form. You are in a legal dispute, and the next step is a petition before a court or the competent authority.

At that stage, three practical points matter:

  • Keep every paper. Rejection letters, receipts and application numbers show what was asked and when.
  • Know the next forum. It may be a magistrate, a civil court or the High Court, depending on the facts. Take local legal advice.
  • Track the case. Courts list matters by party name, and hearing dates move often. Missing a date can cost you months.

This guide does not give legal advice on a specific dispute. It only tells you where the ordinary process ends and a legal one begins.

08Where Claw fits
